Each channel solves a different problem
SMS is compact and can be useful for urgent notices and short reminders. Email supports longer explanations, attachments and a searchable record. Using both channels for every message may create fatigue, so begin with the purpose and the recipient’s expectations.
Create a simple message matrix
Reserve SMS for high-priority updates, short confirmations or deadline reminders where suitable. Use email for detailed schedules, forms, invoices or instructions. A multi-channel sequence might send the complete information by email and a brief SMS reminder only when timely action is important.
Keep data consistent
Maintain consistent recipient identifiers across channels. Normalize phone numbers for the intended country and verify email fields. A spreadsheet-driven workflow should test placeholders for missing values and apply safe fallbacks instead of sending text such as “Dear null”.
Check permission and privacy
Store communication preferences and use appropriate consent or other valid legal bases for each message type and destination. Marketing rules may differ from necessary service notifications. Do not place sensitive customer data in subjects, lock-screen-visible SMS previews or unprotected files.
Measure improvement
Monitor invalid addresses, bounced emails, undelivered SMS, opt-outs and responses. A small reduction in failed messages can matter more than sending more messages. Review templates periodically to keep the language clear and relevant.
